SHIFT DETAILS​

1.1 Add Shift​

Add Shift Step-By-Step

Step 1: Reach the Shift:

  • From the main side menu, click on "HR & ADMINISTRATION", then go to "Masters", and finally choose "Shift". This will open the Shift Search page.

Step 2: Add Shift:

  • Located at the top-right corner of the Shift Search page, there is an “Add Shift” button. Simply click on this button to proceed.

Step 3: Fill in Details:

Upon clicking the 'Add Shift’ button, the Create Shift will open. Complete the following information:

  • Shift Name [Text Field] (Mandatory): Enter the full name of the shift. (Example: General Shift, Morning Shift)
  • Shift Code [Text Field] (Mandatory): Enter a short code for the shift. (Example: GEN, MORNING)
  • First Shift [Dropdown] (Mandatory) - This option is used to indicate whether the selected shift is the first shift of the day or not. ( Example: Select Yes for the morning shift (6:00 AM – 2:00 PM) as it is the first shift of the day; select No for evening or night shifts)
  • Allow Daily Maintenance [Dropdown] (Mandatory) - Choose whether daily maintenance is allowed during this shift. ( Example: Select Yes if routine maintenance like cleaning or lubrication is done during the shift; select No if no maintenance activity is permitted during the shift)

Step 4: Submit :

  • Click Submit to save the shift.
  • Click Clear to reset all fields.
  • Click Cancel to return to Search Page.

1.2 Search Shift​

Search a Shift - Step-by-Step

Step 1: Start Searching:

On the Search page, you can search in different ways:

Step 2: Enter Search Filters You can search using:

  • Shift Name – Type the name of the shift you want to locate.
  • Or leave fields empty and click Search to view all shifts.
  • If you don’t have any specific search requirement then just click the “Search” Button.

Step 3: See the Results: After clicking "Search", you'll see results:

  • The system will display a list of shifts matching your search.
  • Each row will have View/Edit options. (Refer Section 1.3 for editing)

1.3 Edit Shift​

Edit Shift Details – Step-by-Step

Step 1: Find Shift Detail: Go to the Shift Search page.Use filters or click Search directly.

Step 2: Open the Shift for Editing In the results, click View/Edit next to the shift you want to update.

Step 3: Edit Details The Edit Shift page will display existing shift details.

Update the required fields:

  • Shift Name
  • Shift Code
  • First Shift
  • Is daily maintenance allowed

Step 4: Save Changes After making updates, click Submit to save the changes.

1.1.1.1 SHIFT TIMINGS​

Add Shift Timing – Step-by-Step

Step 1: Go to Shift Timings Tab Inside the Shift Edit page, open the “Shift Timings” tab.

Step 2: Fill in Timing Details

  • Shift From Time: Select the exact time when the shift begins. This time marks the starting point for attendance validation and work hour calculations.
  • Shift To Time: Select the exact time when the shift ends. The system uses this time to determine shift duration and to validate late entries or early exits
  • Effective Date: Choose the date from which the shift timing becomes active. From this day onward, the system applies this shift structure to assigned employees.
  • Expiry Date: Choose the date on which the shift will stop being applicable. This is optional and used when a shift is temporary, seasonal, or replaced by a new structure.
  • Shift Report Day Detail: Shift Report Day Detail determines which calendar day the shift data should be reported, especially for night or early-morning shifts. For example: A third shift running from 01:30 AM to 08:30 AM on Dec 1 is reported on Dec 2.
  • Is Shift Timing Overlap: The shift starts in one day and ends in the another day we use shift overlap fields to set the next day for the shift end time for example the above. When a shift starts on one day and ends on the next, the Shift Overlap fields are used to define the next-day end time. For example, a shift from 5:30 PM to 1:00 AM is treated as a single continuous shift to ensure accurate OEE calculation.

Step 3: Save Timing Click Submit to add the timing.The new timing will appear in the List of Shift Timings below.

Edit Shift Timing

  • In the timing list, click View/Edit.
  • Timing details will open in editable mode.
  • Make required changes and click Submit.
