Organisation Details​

To return to the search screen, click Organisation Details next to Welcome at the top-right corner of the page.

The Organisation Details screen is the master record for company-level configuration. It controls legal identity, numbering prefixes, production timing rules, mail settings, invoice behavior, and the optional sub-tabs for people, addresses, and reference numbers.

1. Search Organisation Details​

  • Open Design & Development -> Masters -> Organisation Details.
  • The search screen loads existing organisation data automatically.
  • If a record exists, the grid shows Organisation Name, PAN Number, and a View/Edit action.
  • If no record exists, the Add Organisation button is shown.
  • Search results are retrieved from the organisation details master and the page shows a success or info toast based on whether records are found.

2. Add Organisation Details​

Only an admin can create organisation details. After the first record is saved, the same screen becomes an edit screen for that organisation.

2.1 General​

  • Organisation Legal Name [Text Field] (Mandatory): Enter the full legal name of the organization.
  • Organisation Trade Name [Text Field] (Mandatory): Enter the trade name used by the organization.
  • PAN Number [Text Field] (Mandatory): Enter the Permanent Account Number (PAN) of the organization.
  • GST Number [Text Field] (Mandatory): Enter the Goods and Services Tax (GST) Number of the organization.
  • IE Code [Text Field] (Mandatory): Enter the Importer Exporter (IE) Code of the organization.
  • Organisation Short Name [Text Field] (Mandatory): Enter a short and recognizable name for the organization.
  • Email [Text Field] (Mandatory): Enter the official email address of the organization. Multiple email IDs can be entered separated by commas if required.
  • GST District Code [Number Field] (Mandatory): Enter the district code related to the organization's GST registration.
  • GST State Code [Number Field] (Mandatory): Enter the state code associated with the organization's GST registration.
  • Financial Year Starts [Dropdown] (Mandatory): Select the month from which the organization's financial year begins.
  • Base Currency [Dropdown] (Mandatory): Select the base currency used for financial transactions within the organization.
  • Phone Number [Number Field] (Mandatory): Enter the official phone number of the organization.
  • Serial Number Bulk Generation [Read Only]: Displays whether bulk generation is active or inactive.
  • Material Planning Action Type [Dropdown] (Mandatory): Select the action type to be followed in the material planning process.
  • GRN Date Back Limit [Number Field] (Mandatory): Enter the maximum number of days for which a GRN date can be backdated. This limit is used to ensure that GRN dates are not set too far in the past, maintaining data integrity.
  • TIN No [Text Field]: Enter the TIN number if applicable.
  • CST No [Text Field]: Enter the CST number if applicable.

2.2 General Settings​

  • Is Financial Year Format [Checkbox] enables financial-year-based numbering.
  • Is MFA Enabled [Checkbox] enables multi-factor authentication.
  • Is Round Off Enabled [Checkbox] enables round-off handling in calculations.
  • Link DC to Invoice [Checkbox] shows the DC dropdown on invoice entry.
  • Restrict Invoice Creation [Checkbox] blocks invoice creation when stock is not available.
  • Enable ECN [Checkbox] enables ECN flow at organisation level.

2.3 CMM​

  • Print Number Column [Text Field]: Enter the print-number column mapping used in CMM integration.
  • Actual Value Column [Text Field]: Enter the actual-value column mapping used in CMM integration.
  • Geometry Value Column [Text Field]: Enter the geometry-value column mapping used in CMM integration.

2.4 Production​

  • Shift Start/End Grace Time (Minutes) [Dropdown] (Mandatory): Select the allowed time window for shift start and shift end logging.
  • Hourly Production Entry Time (Minutes) [Number Field] (Mandatory): Enter the time interval used for hourly production entry.
  • Shift Auto-Close Buffer Time (Minutes) [Number Field] (Mandatory): Enter the extra time allowed to close the shift manually after shift end.

The production settings define how early or late a shift can be logged, how often hourly production is expected, and how long the system waits before auto-closing a shift.

2.5 Prefix​

The prefix values define the auto-generated numbering format for different screens.

  • Vendor Prefix [Text Field] (Mandatory): Enter the prefix to be used for the vendor.
  • Supplier PO Prefix [Text Field] (Mandatory): Enter the prefix to be used for supplier purchase orders.
  • Miscellaneous Payment Prefix [Text Field] (Mandatory): Enter the prefix to be used for miscellaneous payments.
  • GRN Prefix [Text Field] (Mandatory): Enter the prefix to be used for the GRN.
  • Job Order Prefix [Text Field] (Mandatory): Enter the prefix to be used for job orders.
  • Supplier DC Outward Prefix [Text Field] (Mandatory): Enter the prefix to be used for supplier jobwork outward DC.
  • Returnable DC Outward Prefix [Text Field] (Mandatory): Enter the prefix to be used for returnable DC outward.
  • Organisation Website URL [Text Field]: Enter the organization website URL.
  • NDA Prefix [Text Field] (Mandatory): Enter the prefix to be used for NDA.
  • Non-Returnable DC Prefix [Text Field] (Mandatory): Enter the prefix to be used for non-returnable DC.
  • Calibration Prefix [Text Field] (Mandatory): Enter the prefix to be used for calibration.
  • Inward Batch No Prefix [Text Field] (Mandatory): Enter the prefix to be used for inward batch number.
  • WorkOrder Prefix [Text Field] (Mandatory): Enter the prefix to be used for inward inspection work order.
  • Returnable DC In Prefix [Text Field] (Mandatory): Enter the prefix to be used for returnable DC inward.
  • Debit Note Prefix [Text Field] (Mandatory): Enter the prefix to be used for debit note.
  • Credit Note Prefix [Text Field] (Mandatory): Enter the prefix to be used for credit note.
  • Route Card Prefix [Text Field] (Mandatory): Enter the prefix to be used for route card.
  • Service PO Prefix [Text Field] (Mandatory): Enter the prefix to be used for service PO.
  • Gate Entry In Prefix [Text Field] (Mandatory): Enter the prefix to be used for gate entry in.
  • Gate Entry Out Prefix [Text Field] (Mandatory): Enter the prefix to be used for gate entry out.
  • RFQ Prefix [Text Field] (Mandatory): Enter the prefix to be used for RFQ.
  • Purchase Request Prefix [Text Field] (Mandatory): Enter the prefix to be used for purchase request.
  • Asset Prefix [Text Field] (Mandatory): Enter the prefix to be used for asset.
  • Restrict Setting Piece [Toggle] (Optional): Enable this option to control access to the Setting Entry screen.

2.6 Templates​

  • Invoice Template [Dropdown] (Mandatory): Select the template for invoice PDF generation.
  • Tally Template [Dropdown] (Mandatory): Select the template used for tally-related output.
  • Country Of Final Destination Applicable [Dropdown] (Mandatory): Select Yes or No for country of final destination applicability.

If Yes is selected for country of final destination, that value becomes read-only in invoice flows and is fetched from the plant.

2.7 Default Terms and Conditions​

  • Supplier PO Terms and Conditions [Rich Text Editor]: Enter the default terms and conditions to be used in supplier PO documents.

2.8 Automated Mail​

  • Automated From Mail [Text Field] (Mandatory): Enter the mail ID from which automated and other mails from the organization are sent. Multiple email IDs can be entered separated by commas if required.
  • From Mail Password [Password Field] (Mandatory): Enter the password for the mail account.
  • Host [Text Field] (Mandatory): Enter the mail host.
  • Port [Text Field] (Mandatory): Enter the mail port.

Email values are validated before save. The screen also validates the automated mail address separately.

2.9 Dashboard Config​

  • Part Statuses [Multi-Select Dropdown]: Select multiple production part statuses for dashboard configuration.
  • The values are stored as a comma-separated configuration list.

3. Edit Organisation Details​

  • Click View/Edit from the search grid to open the organisation record.
  • The edit screen shows the saved values and the same configuration sections listed above.
  • Changing the organisation name is checked for duplicates before save.
  • Saving updates the existing organisation record and keeps the same organisation ID.

4. Sub-Tabs​

The sub-tabs shown on the organisation screen depend on user asset access.

  • Responsible Person appears when the user has PEOPLE access.
  • Address appears when the user has ADDRESS access.
  • Reference Number is always available on the organisation screen.

4.1 Responsible Person​

  • First Name [Text Field] (Mandatory): Enter the first name of the responsible person.
  • Last Name [Text Field]: Enter the last name of the responsible person.
  • Middle Initial [Text Field]: Enter the middle name or initial of the responsible person.
  • Phone Number [Number Field] (Mandatory): Enter the phone number of the responsible person. The mobile number should be 10 digits.
  • Email [Text Field] (Mandatory): Enter the email of the responsible person.

The list shows the saved responsible persons with View/Edit support.

4.2 Address​

  • Address Type [Dropdown] (Mandatory): Choose an address type from the dropdown menu. The available options are controlled from address type master configuration.
  • Line One [Text Field] (Mandatory): Enter the first line of the address.
  • Line Two [Text Field] (Mandatory): Enter the second line of the address.
  • Line Three [Text Field]: Enter the third line of the address.
  • Line Four [Text Field]: Enter the fourth line of the address.
  • Country [Dropdown] (Mandatory): Choose the country from the dropdown.
  • Province/State [Dropdown] (Mandatory): Select the state or province for the selected country.
  • City [Dropdown] (Mandatory): Select the city for the selected state or province.
  • Postal Code [Text Field] (Mandatory): Enter the postal code for the address.
  • Status [Dropdown] (Mandatory): Choose whether the address is active or inactive.

4.3 Reference Number​

  • Docs / Record Type [Dropdown] (Mandatory): Select the required document or record type from the dropdown list.
  • Docs / Record Identification [Text Field] (Mandatory): Enter the document or record identification number.
  • Rev No / Date [Text Field] (Mandatory): Enter the revision number and date related to the selected document or record.

Rules for reference numbers:

  • A document type can be created only once per organisation.
  • During edit, only Docs / Record Identification and Rev No / Date can be changed.
  • The selected document type is read-only in edit mode.

5. Notes​

  • The organisation screen uses the save/update APIs from the HR organisation-details service.
  • Current toast messages include organisation add, update, duplicate-name, invalid email, and invalid automated-mail validation messages.
  • The screen supports dashboard part-status selection through the production part-status picklist.
