Employee Attendance Upload – User Guide
Before You Begin
To begin the process of uploading employee attendance, ensure you are prepared with the following prerequisites:
- A valid username and password.
- An Excel file containing the necessary attendance details like Employee Id and Punch Time List.
Once you log in, you will be directed to the Welcome Screen.
1. Uploading Employee Attendance​
Step-by-Step Instructions
Step 1: Access the Upload Screen
Navigate through the side menu by selecting:
HR & Administration → Operation → Employee Attendance Upload
This action opens the Employee Attendance Upload interface, where you can begin the process.
Step 2: Enter Required Details

Calendar Date (Mandatory):
Select the date for which the attendance is to be uploaded. If attendance for that date already exists, it will be displayed below, and you may re-upload the Excel file.
(Note: If you re-upload, existing data will be removed — see section 3.1) -
Upload / Re-Upload:
If the selected date doesn’t have existing details, you can upload a new Excel Sheet. If present, you can upload a new Excel Sheet with your confirmation. -
Emp ID Column:
Specify the exact column name in the Excel file that contains the Employee IDs. -
Punch Records Column:
Provide the column name in the Excel file where punch times are listed.
Step 3: Validate the Excel Sheet
Click on the Validate File button located on the right side of the screen.
3.1 If Records Already Exist​
- A confirmation popup appears.
- Click Discard to modify the current data or Proceed to remove existing data and upload new records.
3.2 If No Previous Data Exists​
- The new attendance records will be added to the table below automatically.
2. Editing and Saving Attendance Records​
Once data is validated, it appears in the Attendance Records Table. You have the flexibility to either:
- Edit and save the data immediately, or
- Save it as a draft and make edits later.
(Note: Before any edit, you must click "Save as Draft")
Step-by-Step Instructions
Step 1: Edit Attendance Details​
The table allows individual or bulk approval and editing of entries. You can:
- Use Select All or individual checkboxes to choose records.
- Click Add New to include additional records (after saving existing data).
- Use the editable columns to adjust values as needed:
- Date
- First Punch
- Last Punch
- Punches
- View non-editable fields like:
- Employee Code
- Name
- Department
- Time Difference
Column Descriptions
| Column Name | Description |
|---|---|
| Employee Code | Read-only. Displays the unique code of the employee. |
| Employee Name | Read-only. Shows the name of the employee. |
| Department | Read-only. Indicates the department the employee belongs to. |
| Date | Editable. Allows changing the date using the calendar picker or previous date icon. |
| First Punch | Editable. Earliest punch-in time from the Punch List column in Excel. |
| Last Punch | Editable. Latest punch-out time from the Punch List column. |
| Time Diff | Read-only. Automatically calculated based on first and last punch times. |
| Day Status | Based on total hours: - Absent (<2h) - Half Day (2–6h) - Present (>6h) Organization-based configuration |
| Punches | Editable. Shows all recorded punch times from the Excel. |
| Status | Initially "Not Approved". Can be changed via bulk update and saved. |
Bulk Update Section
Located at the top of the Attendance Records Table, this section allows:
- Selecting a bulk status (Approved / Not Approved) from a drop-down menu.
- Applying the selection by clicking Apply Bulk Update.
- Saving all changes by clicking the Save All button.
- If the Punch List has only one value, both First Punch and Last Punch will show the same time.
- Make sure all mandatory fields are filled correctly before clicking Validate File.
- You must save or draft all records before adding new ones.
